A regular meeting of the Quail Valley Lot Owners Association, Inc. Board of Directors was held virtually through GoToMeeting on June 25, 2020, at 7:00 p.m.
Board Members present were Ray Nivarel (President), Ron Caron (Director), Laura Smith (Vice President) and Robert Tindell (Secretary/Treasurer). Quorum was established. 4 out of 4 present. Marie Clark and Ryan Kerlin represented Management.
Meeting was noticed on Facebook and Info Board.
Meeting called to order: at 7:05 p.m. by Ray Nivarel.
Previous Meeting Minutes:
- Ron Caron motions, Robert Tindell seconded to approve minutes for February 27, 2020 and May 4, 2020 and all approve.
Financial Report
- Report was presented by Manager, Marie Clark.
- Collection Policy: Board agreed to send accounts owing more than one year of assessments to the attorney.
- Board agreed to waive delinquent fees on accounts owing $35 and less.
- Motion: Laura Smith motions to approve collection policy and to remove the $35 on all accounts owing $35 or below. Robert Tindell seconded and all approve.
Manager's Report
- Manager advised that management is addressing COVID-19 updates with residents as new updates emerge.
- New CAM Ryan Kerlin was introduced. Marie and Ryan will be working together.
- Violation Report: Management advised that garbage cans letters are only being sent if we know garbage cans are being left out on non-pickup days. Board advised to use good judgement and not to violate residents when garbage cans are out on pickup days.
- Board advised to inspect painting twice a year (June and Dec.) and Board will review report for approval on sending violation letters to repaint.
- Boats and trailers violation letters verbiage will be edited in the system letter. Boats and trailers are allowed to be parked on side of home or rear of home and must be screened from view by approved fencing.
Unfinished Business
- Playground teeter totter is still up but management will confirm. Board and management received reports that older teenagers are using it and the metal plate at bottom is bent.
- New landscape company is emptying pet waste stations as agreed and Trash Valet are also collecting. Everything working well so far. With this new combination of vendors.
- Board would like all copies of pressure washing bids so a decision can be made. The decision needs to be made to get this done before the month is up.
New Business
- Laura Smith motions to award Yard of the Month to 700 Tranquility. Laura Smith seconded and all approved.
- Ray Nivarel motions to change paint scheme 17 trim color to SW6450 Easy Green. Previous trim color was archived by Sherwin Williams.
- Board confirmed that new landscape company is doing a great job thus far. Management will address a few points from meeting with them. Just want to make sure they know the areas to maintain.
